MusicNL week Volunteer Opportunities 

Box Office

The role of volunteers on the door – working under a MusicNL staff member – is to take money from the paying public, maintain a capacity count, stamping hands, applying wristbands and scanning delegate badges when applicable. Door personnel will be briefed prior to events on delegate badges for admission.

Conference Room Monitor

Conference Room Monitors will be maintaining door traffic at events making sure coffee and water is supplied and refreshed, and make sure the performers/speakers have everything they need for the event. Responsible for making sure each room is running smoothly and dealing with any situation that may arise.


Floaters are to be available to step up, should someone not show up for their shift, or if any need arises throughout MusicNL week. Floaters can be placed just about anywhere, and assist with all of the MusicNL coordinators, and what their needs may be. May be asked to go from one event to another to assist with issues at any given time.

Hospitality/Ambassador Greeters

The primary responsibility of the Greeter/Ambassadors is to keep the flow of traffic moving by answering questions, directing people to session locations, and/or taking the person to the desired location. This position must be filled by someone who is personable, enjoys interacting with the public and who has a pleasant demeanour. Standing for long periods may be required. Knowledge of the education conference sessions and location of all session rooms is necessary – you must be familiar with the conference site, and should become familiar with all Music Week events, including off-site events, to ensure questions are answered properly. In the absence of door personnel, Greeters may be tasked with ensuring only credentialed delegates are allowed entry into the education conference and/or special events.

Live Show Support

Live Show Support will be appointed by MusicNL’s coordinators. These volunteers are responsible to ensure the show runs on time, that artists get on and off stage at the correct time, and that the stage is set up as per artist(s)’ stage plot. Moderate to light lifting is required and a technical background is preferred.


Capture the spirit of MusicNL week and the range of activities in photographs that can be used in our promotional material. Take photos at various events throughout the week, and select the best photos from an event and send them electronically to MusicNL. Take clear, interesting photos indoors and outdoors, enjoys talking to people, can work with computer/camera interface in order to send photos electronically.

Registration Desk

Reporting to the Volunteer coordinator, the volunteers who are working at Registration will be required to register MusicNL volunteers (artists and delegates will be registered by MusicNL staff). Knowledge of showcase and conference locations is helpful.


The job of a runner is not easily defined as their role is to respond to a variety of needs that may arise unexpectedly. Venue Managers may require immediate logistical assistance that requires on- and off-site attention to ensure the event runs smoothly and according to plan. Runners may be required to assist in production related activities backstage, deliver and retrieve items, provide local area information to MusicNL staff and touring artists, provide temporary relief to other venue volunteers, and assist in miscellaneous tasks as required.


Scanners are posted at the doors of each event and are responsible for scanning the passes of each entrant with hardware provided by MusicNL Week’s ticketing provider.

Signage Person

Determine the kinds of messages that need to be conveyed for the event ( directions, identification of rooms, washrooms, etc) Prepare an inventory of needs from all managers/coordinators

Social Media Team

Our social media team will be on hand to capture all of the excitement happening throughout the events. You will be responsible for capturing video and taking photos, and posting and tagging on MusicNL’s various social media platforms ( Facebook, Twitter, Instagram, etc). You’ll keep the public updated on the events, who’s performing, and how much fun we are all having.

Sponsor Assistant

Assist with content & communications during MusicNL Week 2018 such as pictures, live streaming, and and updates awards and showcases via social media channels. Assist with ensuring sponsor set up at registration and conference areas, assist with logo display, VIP tables, sponsor appreciation, food and beverage errands as required.


Drivers must have a valid driver’s license, a good driving record, and be at least 25 years of age. Duties include picking up and dropping off delegates at the airport, driving delegates to various destinations around the area throughout the conference, and running errands. A transportation dispatch desk will be located near registration where volunteers will provide information about the transport schedule, location of the events and places around the area. Volunteers accepting this role may be required to work late night shifts when delegates are on their way home after showcases and special events. We will also need to see your license credentials.
